Get work, capacity and costs under control
You have invested in software, but work still lives across spreadsheets, documents and inboxes. Getting a reliable picture means chasing people and assembling reports by hand.

Let’s talkWhen nobody can see where the work stands
- Work lives across spreadsheets, inboxes and a project tool nobody trusts.
- You find out something slipped when a client complains.
- Capacity and costs are guesses until month-end, if then.
- You bought the software, and the team never really adopted it.
I put the workflows, ownership and reporting in place to make your systems useful across the business. That includes how work enters a team, how it is prioritised, who is responsible, how time and costs are recorded, and what leadership can see.
I connect incoming demand with available capacity, budgets and delivery priorities. Working alongside your existing leads, I help resolve competing requests and match work to the right mix of people, balancing experience, cost and the quality required. This can span development, marketing, creative and other operational teams, with the workflow shaped around their actual work.
For project-based work, that can bring together staff and contractor costs, supplier spend, budgets and actuals. Where relevant, it includes billable time and project or retainer profitability.
We establish where each piece of information belongs and how it stays current. That may mean improving an existing platform or connecting several, rather than moving everything into one application.
The work includes configuration, documentation and training so the system becomes part of everyday operations.
Where to start
Start with one operational area or an existing system that is not working well enough. We agree the configuration, reporting and adoption work, with ongoing support available as the team begins using it.
Two agencies, two platforms rebuilt
In two agency delivery roles I inherited operational platforms that had been bought but never properly adopted: Productive.io in one, Avaza in the other. I rebuilt each around workflows, time recording, budgeting and reporting, and trained the people using them.
A trade customer portal
A fictional supplier’s portal: orders and reorders, approval limits, invoices, statements and support, with different views for account admins and buyers.
What a written picture looks like
A sample estate report on a fictional business: what is running, where delivery stands, the suppliers and the risks in order.
